• The Governance Coordinator is responsible for delivering high-quality secretariat, coordination and administrative support to the Board and four Board Sub-Committees.
  • The role facilitates the effective operation of the Gallery's governance framework through the coordination of Board and Committee activities, governance processes and records. The position also supports coordination of the Gallery's corporate reporting obligations, including the Corporate Plan, Annual Report and facilitates the Gallery's responses to government reporting and information requests.
  • The Governance Coordinator reports operationally to the Head, Governance & Risk, and works closely with stakeholders across the Gallery. The role supports the planning, coordination and delivery of governance and reporting activities by establishing timeframes, managing workflows, coordinating contributions and monitoring progress to ensure high-quality and timely outcomes.

• Coordinate and deliver high-quality secretariat services for the National Portrait Gallery Board and four Board Committees, including annual workplan development, agenda coordination, paper management, meeting logistics, minute-taking, action tracking and governance records administration.
• Manage Board and Committee member administration, including member communications, travel and accommodation arrangements, onboarding activities, declarations and conflicts management, sitting fee administration, Diligent administration and the maintenance of governance records.
• Develop and maintain governance practices for the Board and its committees, ensuring compliance with relevant legislation, policies, and procedures.
• Support the coordination and publication of the Gallery's Corporate Plan, Annual Report and other corporate reporting requirements.
• Support the coordination and delivery of the Gallery's responses to government requests and reporting obligations, including annual reporting, portfolio contributions, questions on notice and other information requests.
• Provide administrative support to the Head, Governance and Risk and Chief Operating Officer, including assistance with compliance, risk management, information management, Freedom of Information (FOI) matters and other governance activities as required.
Selection Criteria
• Demonstrated experience providing high-quality secretariat support to Boards, Committees or equivalent governance bodies within a government, public sector or similar environment, including the coordination of meetings and logistics, paper management and action tracking.
• Exceptional organisational and time management skills, with the ability to work independently, coordinate multiple workstreams, manage competing priorities and deliver high-quality outcomes within competing and often fixed timeframes.
• Highly developed written and verbal communication skills, with the ability to build productive working relationships and work confidently with senior stakeholders.
• Excellent interpersonal skills, with the ability to work collaboratively in a fast-paced environment and maintain productive relationships with stakeholders and staff to deliver outcomes.
• Demonstrated understanding of corporate governance frameworks and accountability requirements within an Australian Government environment. Experience working within the cultural sector is desirable.
